Volunteer Minute Taker
Winchester Poetry Festival is the first major festival in the south of England dedicated to poetry. It is intended to celebrate poetry within a civic environment in order to ensure the widest possible degree of public awareness and enjoyment.
The inaugural festival took place in 2014 and the event is now biennial.
The Trustees of WPF meet monthly and require a minute taker to make a record of these meetings.
Reports to: Chair of Trustees
Hours/Days: Meetings on first/second Monday of each month (2 hours) Minutes to be produced within one week of meeting.
There is also the opportunity to become involved with Poetry Festival activities and events.
The volunteer would take minutes at the monthly Trustee meeting and then type up and distribute the minutes. You should be reliable, have a high level of written English, be able to write accurately and succinctly, have basic IT skills and good organisational/admin skills. Previous experience is not necessary although would be an advantage.
You would need to be available on either the first or second Monday of the month to attend the meeting which typically lasts up to 2 hours. You would need to be able to offer an additional 1.5 to 2 hours within the next week to type up the minutes and make any alterations or corrections as identified by the Chair of Trustees. This is an ongoing role and we would ask any volunteer undertaking this role to commit to at least one year (12 monthly meetings).
Take accurate and thorough minutes during meetings
Promptly verify and clarify any information you are unsure of within the minutes
Type up draft minutes promptly after the meeting and agree with Chair
circulate minutes to Trustees and Festival staff
Experience of taking minutes accurately and quickly
Reliable and punctual
Familiar with working confidentially
Strong IT and typing skills
Good listening skills
Excellent written and spoken English
